View vaccination provider reports

How to view statistical and identified reports on the Australian Immunisation Register (AIR) site using HPOS.

You can use AIR to view statistical and identified reports. You must be a recognised vaccination provider.

If you’re a medical practitioner, midwife or nurse practitioner with a Medicare provider number, you’re automatically a recognised vaccination provider.

If you’re a medical practice, pharmacy or organisation, you need to register as a vaccination provider and set up access to AIR.

You can get reports from AIR to help you find individuals who are overdue for immunisation.

To view statistical reports:

  1. Log in to PRODA to access your HPOS account.
  2. In HPOS, select My programs and then Australian Immunisation Register.
  3. Select Reports menu.
  4. Select the report you would like to view from the list.

The reports in the following table are statistical only and don’t include patient details.

This report shows the number of individuals registered with the AIR, by the locality and age of the individual.

You can view the following age breakdown options:

  • birth date range, for example 01/01/2008 to 31/12/2008
  • age range, for example birth to 10 years, with a maximum age breakdown range of 10 years
  • age group, for example 0 to <2 months, or 2 to <4 months.
AIR002ANumber (or percentage) of individuals who have received valid vaccinations

This report provides statistics on individuals who have received valid vaccinations, by locality and age. You can choose to view the information by vaccination data type, date type and age breakdown.

You can view vaccination data type by:

  • disease vaccinated against, for example, diphtheria, tetanus
  • vaccine brand, for example IFHX, CMX, or MMRSKB.

You can view date type by:

  • age calculated at current date - the date the AIR produced the report
  • age calculated at vaccination date - the date the person was vaccinated.

You can view age breakdown by:

  • birth date range, for example 01/01/2008 to 31/12/2008
  • age range, for example birth to 10 years, with a maximum age breakdown range of 10 years
  • immunisation date range, with a maximum immunisation date range of 10 years
  • age group, for example 0 to <2 months, or 2 to <4 months.
AIR002BNumber of individuals who have received valid vaccinations, by a selected provider

This report provides the number of valid vaccinations administered by a specified provider. You can choose to view the information by vaccination data type, date type and age breakdown.

You can view vaccination data type by:

  • disease vaccinated against, for example, diphtheria or tetanus
  • vaccine brand, for example IFHX, CMX or MMRSKB.

You can view date type by:

  • age calculated at current date - the date the AIR produced the report
  • age calculated at vaccination date - the date the person was vaccinated.

You can view age breakdown by:

  • birth date range, for example 01/01/2008 to 31/12/2008
  • age range, for example birth to 10 years, with a maximum age breakdown range of 10 years
  • immunisation date range, with a maximum immunisation date range of 10 years
  • age group, for example 0 to <2 months or 2 to <4 months.
AIR003ANumber of individuals whose consent has been withdrawn

This report provides a count of individuals by locality, who have:

  • opted out of receiving immunisation correspondence
  • withdrawn consent for the AIR to supply their information to a third party.
AIR004ANumber (or percentage) of valid vaccinations by provider type

This report provides the number or percentage of valid vaccinations by provider type and locality.

You can filter the information by age breakdown and date ranges.

You can view age breakdown by:

  • birth date range, for example 01/01/2008 to 31/12/2008
  • age range, for example birth to 10 years, with a maximum age breakdown range of 10 years.

You can view date ranges by:

  • immunisation date range, with a maximum immunisation date range of 10 years
  • receipt date range, with a maximum receipt date range of 10 years.
AIR005ANumber of providers who have submitted valid vaccination information to the AIR

This report provides the number and percentage of providers who have submitted valid vaccination information to the AIR. It shows this information by provider type and locality.

You can choose to view this information by vaccination receipt date range. For example, you could view 01/01/2009 to 31/03/2009. The maximum receipt date range is 10 years.

To view identified reports:

  1. Log in to PRODA to access your HPOS account.
  2. In HPOS, select My programs and then Australian Immunisation Register.
  3. Select Reports menu.
  4. Select the report you would like to view from the available list.

This report identifies individuals due or overdue for immunisation based on your Practice Incentives Program practice ID. You can break this information down by MBS service period and can list immunisation status by:

  • individuals who are overdue for an immunisation service for a specified disease or all diseases
  • all individuals.

These options can also include an age breakdown by:

  • birth date range, for example 01/01/2008 to 31/12/2008
  • age range, for example birth to 10 years, with a maximum age breakdown range of 10 years.

Additional elements of this report are available based on your provider type.

Some output options include:

  • individual’s details - name, address and overdue status
  • immunisation history of each individual - all vaccines recorded on the AIR when the AIR produces the report
  • due or overdue antigens - due or overdue date and antigens for each individual on the report
  • provider’s details - name, address and phone number of providers who vaccinated the individuals
  • details of the information provider
  • natural immunity or medical contraindication details
  • route of administration (for selected vaccines)
  • vaccine type (NIP/Commonwealth, state program, antenatal, private).
AIR011ADue/Overdue report - by Locality

This report identifies individuals due or overdue for immunisation by their locality. You can break the information down by postcode or a postcode range.

You can view immunisation status by:

  • individuals who are overdue for an immunisation service by a specified period of time, up to 12 months
  • individuals currently due for an immunisation for a period of time, up to 6 months
  • individuals overdue for an immunisation service that have no vaccination history
  • all individuals in the postcode or postcode range selected.

These options can also include an age breakdown by:

  • birth date range, for example 01/01/2008 to 31/12/2008
  • age range, for example birth to 10 years, with a maximum age breakdown range of 10 years
  • due/overdue by selected diseases or all diseases.

Additional elements of this report are available based on your provider type.

Some output options include:

  • individual’s details - name, address and overdue status
  • immunisation history of each individual - all vaccines recorded on the AIR when the AIR produces the report
  • due/overdue antigens - due or overdue date and antigens for each individual on the report

AIR011BDue/Overdue report - by Vaccination Provider

This report identifies individuals due or overdue for immunisation by a vaccination provider. The provider requesting the report must have immunised the individual at least once.

You can view immunisation status by:

  • individuals who are overdue for an immunisation service by a specified period of time, up to 12 months
  • individuals currently due for an immunisation for a period of time, up to 6 months
  • all individuals immunised by vaccination provider, within a specified date range.

These options can also include an age breakdown by:

  • birth date range, for example 01/01/2008 to 31/12/2008
  • age range, for example birth to 10 years, with a maximum age breakdown range of 10 years
  • due or overdue by selected diseases or all diseases.

Additional elements of this report are available based on your provider type.

Some output options include:

  • individual’s details - name, address and overdue status
  • immunisation history of each individual - all vaccines recorded on the AIR when the AIR produces the report

AIR012ADatabase exchange report

This report allows providers to check they have accurate and up-to-date records for specific patients. Providers can upload a file containing details of up to 300 individuals displayed in CSV format. The AIR must be able to make a unique match between the uploaded record and the individual’s registration on the AIR to include their information in the report.

Some output options include:

  • individual’s details - name, address and overdue status
  • immunisation history of each individual - all vaccines recorded on the AIR when the AIR produces the report
  • due or overdue antigens - due or overdue date and antigens for each individual on report
  • provider details - name, address and phone number of providers who vaccinated the individuals
  • details of the information provider
  • natural immunity or medical contraindication details
  • route of administration (for selected vaccines)
  • vaccine type (NIP/Commonwealth, state program, antenatal, private).

The file also lists individuals in the uploaded file who the AIR couldn’t match to a record. This may be due to a restriction placed on releasing the individual’s details.

AIR015AHistory update report

This report identifies individuals whose immunisation information or service was supplied or administered by other providers within a locality. You can use the information in the report to make sure providers have up-to-date and accurate records. You can view the information by the date the AIR processed it, for example 01/03/2009 to 31/03/2009.

The AIR produces this report in CSV format. It doesn’t necessarily include the individual’s complete immunisation history. It only displays immunisation episodes if:

  • the information provider or vaccination provider, depending on the option selected, isn’t the requesting provider
  • it processed the data within the information date range.

Some output options include:

  • individual’s details - name, address and overdue status
  • immunisation history of each individual
  • due/overdue antigens - due/overdue date and antigens for each individual on report
  • provider’s details - name, address, and phone number of providers who vaccinated the individuals
  • details of the information provider
  • natural immunity/medical contraindication details
  • route of administration (for selected vaccines)
  • vaccine type (NIP/Commonwealth, state program, antenatal, private).
AIR016AProvider contact details

The AIR produces this report in CSV format. It provides a list of provider’s contact details identified by locality. The report breaks down the information by the type of provider. This could be, for example, GPs and general practices, or public provider types.

Once you select the type of provider, the AIR produces the report according to the type of participation, including:

  • providers who have submitted data to the AIR
  • providers who haven’t submitted data to the AIR
  • all providers registered.

If you make a selection to include providers who have or haven’t submitted information to the AIR, specify:

  • the number of months since the information has or hasn’t been submitted
  • a date range in which information was or wasn’t submitted.

The output for GPs and general practices displays the:

  • provider number
  • registration type
  • name, address and phone number.

The output for public provider types displays the:

  • provider number
  • registration type
  • business name, address and phone number.
AIR018AImmunisation practice report for Primary Health Networks

The report identifies practices registered for the Practice Incentives Program within the Primary Health Network boundaries at the time the AIR produced the report.

The report shows if the practice received the AIR010A report.

AIR021ADue/Overdue Report - by Medicare GP

The report identifies individuals who are due or overdue for one or more antigens. It shows all locations where the GP is practising the time you requested the report. This report helps GPs follow up with individuals who are due or overdue for one or more antigens.

The AIR uses information from Medicare and the AIR to determine whether to include an individual in a GP’s report. The report will include individuals who have attended the GP for a Medicare service in the last 12 months if their immunisation history meets the criteria identified in the report parameters.

You can view immunisation status by:

  • individuals who are overdue for an immunisation service by a specified period of time, up to 12 months
  • individuals currently due for an immunisation for a period of time, up to 6 months
  • individuals overdue for an immunisation service who have no vaccination history
  • individuals who attended for a Medicare service in the last 12 months.

These options can also include a breakdown by:

  • birth date range, for example 01/01/2008 to 31/12/2008
  • age range, for example birth to 10 years, with a maximum age breakdown range of 10 years
  • due or overdue by selected diseases or all diseases.

Additional elements of this report are available based on your provider type.

Some output options include:

  • individual’s details - name, address and overdue status

AIR042ACOVID-19 and influenza Vaccination Report

This report provides the relevant COVID-19 or influenza vaccination history for individuals who received a MBS service at a provider’s practice, or individuals who were previously vaccinated by the provider.

The COVID-19 or influenza vaccinations that an individual has received will be shown in the report based on a variety of search criteria.

Some output options include:

  • vaccination type - choice of either COVID-19 or influenza
  • vaccine brand
  • total number of doses in a specific timeframe (Null, 1, 2, 3, 4)
  • route of administration (for selected vaccines)
  • vaccine type (NIP/Commonwealth, state program, antenatal, private)
  • timeframe (Null, 1 month, 2 months, 3 months, 6 months, 1 year, 18 months, 2 years)
  • minimum number of doses received (Null, 1, 2, 3, 4, 5)
  • maximum number of doses received (Null, 1, 2, 3, 4, 5).

The report will display the following details for medical exemptions for COVID-19 or influenza vaccines:

  • individual details
  • vaccine brand
  • antigen
  • type of medical contraindication (permanent or temporary)
  • reason
  • notification date/start date
  • end date (if not recorded, the field will be blank)
  • notify if individual is on a vaccine trial.
AIR043AVaccine Details Report

This report provides data to enable vaccination providers to reconcile their vaccinations submitted to the AIR over a certain period. The provider requesting the report must have either vaccinated the individual at least once using their provider number, or the individual is linked to their practice (based on Practice Incentives Program Practice ID and MBS services) for a defined service period.

Some output options include:

  • vaccine brand
  • vaccine dose
  • total number of doses in a specific timeframe (Null, 1, 2, 3, 4)
  • route of administration (for selected vaccines)
  • vaccine type (NIP/Commonwealth, state program, antenatal, private)
  • timeframe (maximum 3 months).

The report will display the following details for medical exemptions:

  • individual details
  • vaccine brand
  • antigen
  • type of medical contraindication (permanent or temporary)
  • reason
  • notification date/start date
  • end date (if not recorded, the field will be blank)
  • notify if individual is on a vaccine trial.
