Information technology (IT) supporting organisations that help support the Healthcare Identifiers (HI) Service and My Health Record need to get a HI Service registration number. These include:
- contracted service providers (CSP) who manage or communicate health information for a health care provider
- general supporting organisations (GSO) who provide infrastructure and information for the My Health Record system for a health care provider.
GSOs can be either a registered repository operator or registered portal operator.
As an IT supporting organisation, you need to register to use HI Service before you can:
- get health care identifiers for patients, provider organisations and individual health care providers
- participate in the Secure Message Delivery program which allows health care provider organisations or individual health care providers to send secure messages to each other
- view and upload information to patients’ My Health Records.
If you’re an IT supporting organisation you need to apply to access the HI Service and My Health Record. To do this, you need to submit a form to:
- apply for your registration number
- request a National Authentication Service for Health (NASH) Public Key Infrastructure (PKI) certificate.

If your organisation manages or communicates health information on behalf of health care providers, apply for registration as a contracted service provider.
Use the Application to register a contracted service provider organisation form (HW012).
If your organisation provides infrastructure and information for the My Health Record system, apply for registration as a general supporting organisation (GSO).
Use the Application to register a general supporting organisation form (HW013).
After you’ve registered to use the HI Service, you need to set up your access to it and the My Health Record system.
How you set up your access depends on the type of IT supporting organisation you work for.
The health care organisation you provide IT services to manages your access.
A contracted service provider (CSP) has a deactivated status until it’s linked to a health care organisation that it provides support services for.
Before you can access the HI Service and My Health Record on a health care organisation’s behalf, you need to do the following:
- Give your CSP registration number to the health care organisation. The organisation maintenance officer (OMO) can link your CSP organisation so it can access the HI Service.
- Get a NASH PKI organisation certificate to access the HI Service and My Health Record.
When your CSP organisation is active, you’ll be able to use your software on the organisation’s behalf to:
- access the HI Service and My Health Record
- facilitate secure messaging.
What your software can access depends on the:
- products you’ve developed for the HI Service and My Health Record system
- IT service you provide to each organisation.
Australian Digital Health Agency (ADHA) manages your access as a repository or portal operator. You can read about My Health Record and about setting up access on the ADHA website.
Keeping your details up to date ensures:
- we can contact you about the HI Service
- other registered organisations and health care providers can find you to send you secure messages and referrals
- information about you in the My Health Record is correct.
Only officers of contracted service providers and general supporting organisations can update their organisation details in the HI Service. They need to submit a form to update their details:
- Application to amend details of a contracted service provider organisation record form (HW043)
- Application to deactivate or retire a contracted service provider organisation form (HW048)
- Application to add, replace or remove a contracted service provider officer form (HW046)
- Application to amend a contracted service provider officer's details form (HW047).
