Claiming after the activity

You can ask us to pay you after an activity as a reimbursement. However, we need to approve the activity before it takes place.

The best way to claim Away from Base Assistance is before the activity. However, you can claim it as a reimbursement.

What you need to do before the activity

If you want us to pay you a reimbursement, you need to apply at least 6 weeks before the activity. This is so we can approve the activity in principle and tell you what we will and won’t cover. You’ll be responsible for any costs we don’t approve.

To apply for approval, send us a completed ABSTUDY Submission for Away from Base Activity Funding form.

We’ll let you know if you need to give us other supporting documents before we can approve the activity.

What you need to do after the activity

After the activity, you need to apply for reimbursement by 1 April in the following year.

You’ll need to give us all the following:

  • original receipts
  • details of the activity including where it took place, dates and participants
  • a completed ABSTUDY Submission for Away from Base Activity Funding form
  • a completed ABSTUDY Reimbursement Authorisation Booking Form.

Reimbursement form

The ABSTUDY Reimbursement Authorisation Booking Form is an Excel spreadsheet with 3 tabs.

You need to complete all the sections in tab 1 and tab 2. You can use the comments section in tab 2 to provide any further details we may need to know. This can include the cost of accommodations or meals.

You only need to fill in tab 3 if there’s a linked traveller. This is someone travelling with the student, who you’ve also booked and paid for their travel.

If you’re asking for a reimbursement for multiple students, put all their details on the same ABSTUDY Reimbursement Authorisation Booking Form. You only need to send one ABSTUDY Fares Allowance Claim form.
